Privacy Policy
Effective April 25, 2026
Pop Logic LLC ("we," "us," or "our") operates the CYCLOPS cultivation management platform (the "Platform"). This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you access or use the Platform. By using CYCLOPS, you agree to the practices described in this policy.
1. Information We Collect
We collect the following categories of information:
- Account Information: Your name and email address, provided when you authenticate via Google sign-in. We do not collect or store passwords — authentication is handled by Google OAuth through our identity provider (Supabase), and your credentials remain with Google.
- Business and Operational Data: Cultivation records, batch data, harvest data, strain information, scheduling data, and other farm or business data you enter into the Platform.
- Billing Information: When you purchase a subscription, payment is processed by Paddle, our merchant of record. Paddle collects and stores payment card and billing details directly; we receive only limited transaction metadata (such as plan, status, and the last four digits of the card) needed to manage your subscription.
- Infrastructure Log Data: Our hosting and infrastructure providers (Cloudflare for application delivery and Supabase for database and authentication) automatically collect server-level data such as IP addresses, request timestamps, and browser type as part of standard infrastructure operations. We do not actively instrument or independently collect this data within the application itself.
- Device Information: Basic information about the device and browser you use to access the Platform, as captured passively by our infrastructure providers.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Platform and its features.
- Authenticate your identity and manage your account.
- Process subscription payments and manage billing through Paddle.
- Respond to your inquiries, support requests, and communications.
- Monitor Platform usage for security, fraud prevention, and performance purposes.
- Comply with applicable legal obligations.
3. Billing
Subscription payments are processed by Paddle, which acts as our merchant of record. Paddle's collection, use, and storage of payment information is governed by Paddle's own privacy notice. We do not store full payment card information on our systems.
4. How We Share Your Information
We do not sell your personal information. We may share your information in the following limited circumstances:
- Service Providers: With trusted vendors who assist us in operating the Platform (including Cloudflare for application delivery, Supabase for database and authentication, and Paddle for payment processing), under appropriate confidentiality and data-processing terms.
- Google OAuth: When you sign in via Google, your authentication request is handled by Google in accordance with Google's Privacy Policy. We receive only your name and email address as a result of that authentication.
- Legal Requirements: If required by law, court order, or government authority, or to protect the rights, property, or safety of us, our users, or others.
- Business Transfers: In connection with a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
- With Your Consent: For any other purpose with your explicit consent.
5. Cannabis Industry Compliance
CYCLOPS is designed for use by and with licensed cannabis businesses. You are solely responsible for ensuring that your use of the Platform and the data you enter complies with all applicable federal, state, and local laws and regulations, including cannabis licensing requirements and seed-to-sale tracking obligations. We do not guarantee regulatory compliance on your behalf.
6. Data Retention
We retain your account information and operational data for as long as your account is active or as needed to provide the Platform. You may request deletion of your account and associated data by contacting us. We may retain certain data for a reasonable period as required for legal, backup, or audit purposes.
7. Data Security
We implement commercially reasonable technical and organizational measures to protect your information from unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.
8. Your Rights and Choices
Depending on your jurisdiction, you may have certain rights with respect to your personal information, including:
- The right to access or obtain a copy of the information we hold about you.
- The right to correct inaccurate information.
- The right to request deletion of your information (subject to legal retention obligations).
- The right to opt out of certain communications.
To exercise any of these rights, please contact us at support@cyclops.systems.
9. Children's Privacy
The Platform is not directed to individuals under the age of 21. We do not knowingly collect personal information from anyone under 21. If we become aware that a minor has provided us with personal information, we will take steps to delete such information promptly.
10. Third-Party Links
The Platform may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies independently.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform and updating the effective date. Your continued use of the Platform after any changes constitutes your acceptance of the revised policy.
